Accountability & Reporting
Keeping in touch about how funding has been used is an important part of Ahu Community Trust’s support for community organisations. The main way this is done is through accountability reporting.
Accountability reporting is required for all funding provided by Ahu Community Trust. Depending on the type and length of support received, progress reports may also be requested alongside a final report. Please note that future applications cannot be considered until accountability reporting is up to date.
An accountability report will be attached to each successful application and is usually due within 12 months of the grant approval date.
To make reporting easier, it is helpful to keep clear records as the project progresses, including receipts, invoices and relevant bank statements.
Submitting an accountability report
Accountability reports can be completed online at any time by logging back into SmartyGrants, selecting My Submissions, and opening the application linked to the report.
A reminder email will also be sent from SmartyGrants one month before the report is due.

Funded organisations are asked to acknowledge Ahu Community Trust’s support and, where possible, share stories, photos and updates that show the impact of their work.
Have plans changed or been delayed?
From time to time, projects are affected by delays or unexpected changes. If this happens, a variation or extension can be requested by writing to the Trustees of Ahu Community Trust and sending it to the Community Relations Manager, who will present it on your behalf at the next Board meeting.
Please include the following information in the request:
- the name of your organisation and project
- the amount of funding received
- the original timeline for completion
- the proposed new timeline
- any other proposed project changes
- the reasons for the delay or variation
